Position Summary: Neighborhood Bike Works (NBW) is seeking a full-time Operations Manager to maintain NBW’s facilities and oversee the financial activities of the organization. The Operations Manager works directly with the Executive Director in the areas of basic financial management and bookkeeping, tracking retail operations, assisting in fundraising and development operations, and overseeing communications and public relations activities. This position requires an organized and motivated individual who can multitask and continually reassess shifting priorities while seeing projects through to completion.

 

About Neighborhood Bike Works: Neighborhood Bike Works (NBW) is a nonprofit organization that provides educational, recreational, and career-building opportunities for urban youth in underserved neighborhoods in greater Philadelphia through bicycling. By learning bicycle mechanics and exploring the city by bike, young people at NBW build life skills and healthy habits and gain leadership experience.  It also promotes cycling as a healthy, affordable, environment-friendly form of transportation. In addition to our youth programs, NBW provides a DIY community bicycle workshop space for adults as well as community outreach programs to promote cycling.

Reports to:           Executive Director

 

Schedule:  This is a full-time, exempt position requiring some weekend and evening hours occasionally. Some hours may be worked remotely.

 

Primary Responsibilities:

●      Maintain and improve administrative systems, including record-keeping for financial transactions, bicycle donations and sales, in-kind donations, and all other physical and digital records in the filing system and server

●      Oversee information systems, including website, social media accounts, general email accounts, computer networks, phone and voicemail systems, and online donation systems

●      Maintain office inventory and manage the purchasing of office supplies

●      Assist bookkeeper with accounting activities, including entering bills, check requests, payroll, sales tax, and other routine payments into QuickBooks, and creating and submitting invoices to customers

●      Oversee the annual financial audit of NBW with an external auditor

●      Prepare and present regular fundraising progress reports and other financial reports (i.e. P&L reports, Balance Sheets, YTD reports) for NBW financial committee meetings and board meetings

●      Process donations including monetary, stock and in-kind donations of service or goods.

●      Oversee production of promotional materials, including brochures, event and program materials, and business cards

●      Responsible for communicating facilities maintenance matters with landlords of Offsite Storage Facility, Bike Shop, and Administrative Offices and management of leases for those rental buildings

●      Assist the Executive Director with development and fundraiser duties such as writing and editing material for grant applications and reports, and providing support for planning and execution of fundraising events, and annual fundraising campaigns; producing publications such as monthly newsletter, marketing materials, and annual report

●      Collaborate with the Bike Shop Manager on organizing and executing Bike Valet Service at Philly Bike Expo

 

Qualifications:

●      Bachelor’s degree or equivalent, and experience utilizing administrative and financial management systems

●      Strong financial acumen, knowledge of financial statements including income statement and balance sheet, and accounting for nonprofit organizations preferred

●      Proficiency in Microsoft Office (Word, Excel) and CRM database, and ability to maintain or troubleshoot basic office IT equipment

●      Experience with QuickBooks strongly preferred

●      Must possess superb communication skills, both written and verbal

●      Energetic and engaging with youth while being reliable, responsible, and professional

●      Ability to work in a team environment, collaborating with other staff and the NBW board of directors is required

●      Self-motivated with a keen attention to detail

●      High degree of familiarity with computer use, social media, and ability to learn new fundraising database

●      Enthusiasm for mission of Neighborhood Bike Works

●      Knowledge of bike shops, parts, and tools a plus

●      Successful passing of PA State Police Criminal Background Check, Pennsylvania Child Abuse History Clearance, and FBI Clearance required

Compensation:

●      This is a full-time exempt position, $40,000 -$50,000 per year commiserate with experience

●      NBW offers a competitive benefits package, including health, dental, life insurance, and retirement plans

●      10 days paid vacation in the first year (increases with service) and 56 hours paid personal time

●      NBW offers an additional 8 paid holidays off (Christmas Day, New Year’s Day, etc.) plus 2 additional paid holidays chosen by the employee.

●      NBW is closed between Christmas and New Year’s and staff receives regular pay during that time

jessi west, Executive Director

As a lifelong cyclist, Jessi brings a passion for biking that she is committed to passing along to the next generation. She has ridden bikes at the beach, in the mountains, and on Philadelphia’s streets for nearly 20 years. She has first-hand knowledge of the impact biking can have on your health and sense of personal achievement.

Most recently, Jessi served as the Executive Director of the Chincoteague Center. She also has experience in the theater world, working as the Associate Production Manager at the Arden Theatre Company.

Mustafa Abdul-Rashid, Youth Programs Director

Mustafa Abdul-Rashid is a West Philly native and has always been an ambassador for his community. He is a graduate of West Philadelphia High School with credentials in automotive studies. 

Currently, he serves as the Youth Program Director and has been a part of the Neighborhood Bike Works family for  over 15 years. He has previously held the positions of Site Manager and Program Coordinator and his experience runs the gamut of managing the day to day operations, leading long (and short) distance youth cycling rides and connecting his community with new opportunities and partnerships. Additionally, he has years of experience in youth engagement and mentorship through cycling, teaching bike repair, and bicycle mechanics.

When he isn’t engaging with his community, you can find him camping, exploring new trails for mountain biking, or cooking on his grill.

Andrew has been a member of the NBW community for many years, first as a student, then a volunteer, and now staff. Andrew served as our lead mechanic since 2020 then as Operations Manager and recently became Shop Manager!

 
 

Aaron wemer, lead mechanic & adult educator

Having an interest in mechanical knowledge and repair since a young age, Aaron's interests became more bicycle-focused during the many nights spent at Bike Church as a college student and messenger between 2004-2006.

Over the next decade and during travels around the country, Aaron located several non-profit bicycle organizations with similar missions to NBW. Much time was spent hanging out and volunteering in those places with the primary goal of honing his repair skills to an even finer point.

Now after nearly 2 decades he's back in his favorite city, ready to serve all your repair needs.

Dani Motze, Operations manager

Dani Motze started riding her bike to commute the summer after high school when her car broke down and was hooked! She helped found another community bike shop that was inspired by NBW and did other cool projects with and for people on bikes, like leading community rides, advocating for more equitable infrastructure and transforming a blighted lot into pump tracks and a community garden.

She is proud to have earned a Bachelor’s of Social Work & Communications and a Master of Business Administration (MBA). She has also worked on proposals, permitting and procurement in engineering sectors - but working with people on bikes is her favorite!

 

Youth Council

The Neighborhood Bike Works Youth Council serves to build youth leadership and youth voice in the NBW community. The Council offers their ideas on new NBW programs and events to staff and other leaders in our community.  At times when NBW makes critical organizational decisions, NBW staff and Board consult with the Youth Council to understand a youth perspective and gather additional input. Youth Council members facilitate connection and communication between staff and youth program participants. With help from the Youth Council we hope to become a more youth-led organization, attuned to the interests of youth leaders. 

NBW's Youth Council formed in 2014 after several NBW youth leaders attended the Youth Bike Summit.

Youth Council President

In 2013 Joshua joined an Earn-A-Bike class at Neighborhood Bike Works and never looked back. He has since completed every program we offer and now serves at Youth Council president; he facilitates all Youth Council meetings, gathers input from Council members, and appears at all types of NBW events and programs. We can count on Joshua to keep the Council organized and focused on reaching its goals. You might have met Joshua at one of the three Youth Bike Summit conferences he has attended with Neighobrhood Bike Works.

Marc comes from South West Philadelphia and has been with NBW for two years.  Marc loves helping people make stuff happen. He joined the NBW Youth Council in 2017 and has completed NBW's Leadership and Advanced Mechanics Course, Winter Bike Build, and served as a Summer Cycling Day Camp Assistant Counselor in 2017.

Youth Council Secretary

James is a fixture at Neighborhood Bike Works. After completing an Earn-A-Bike class in 2012, James has put in hundreds of hours in our shops. All of his hard work led to earning a job at Trophy Bikes in 2016. James maintains meeting notes for all Youth Council sessions and always offers thoughtful ideas. You might see him in West Philly with a bike trailer in tow.

Youth Council Treasurer

Qaasim joined NBW in fall 2016 and has embedded himself in all NBW programs since! When Qaasim joined NBW he was looking for a bike. Through Earn-A-Bike, he got a bike and through NBW ride programs he has become a confident year-round, all-weather cyclist. As Treasurer, Qaasim co-manages the Youth Council budget and develops fundraising ideas.

Outreach Coordinator

Everyone at Neighborhood Bike Works knows Adiva. Her outgoing and friendly character make her pefect for the Outreach Coordinator role. Adiva makes friends everywhere she goes - in all of our programs, events, and far beyond. As Outreach Coordinator, Adiva spearheads recruitment of new Youth Council Members, engages students at NBW graduations, and works with the Treasurer organizing fundraising and service projects. Adiva and her fellow Council members organized a pretty sweet fashion show this past May 2017.
